New Patient Monitor Template - Free Download
New Patient Monitor Use Description- Free Download
I can’t recommend this one step more. Tracking your New Patients will give you valuable data in-House. Make marketing, personnel, service mix and Team training decisions based on what is actually happening in your practice. You may find that your most gregarious front desk employee actually is less successful with a new patient call than your quiet one! You may discover that most of your emergency patients convert to comprehensive evaluations, but you are losing all of your consults. Going by memory will always give you poor data. Track for trends.
Patient Exit Letter for Download - Free Download
This letter should be imported into your Practice Management letter templates for any patient of record who has decided to leave your practice for care elsewhere. Available for free download.
Tracking new patients is critical, but finding out why patients might be leaving your practice is equally important. We all hate it when we lose a patient or a family of patients. Take this opportunity to give a gracious farewell, get some valuable feedback, and then leave the welcome mat out for their possible return.

Cards designed for OON Practices to help keep your PPO patients
“PPO? My Choice? – We Appreciate Your Situation And Want You To Know…”
Order a card file personalized for your practice-communicate an alternate benefit to your patients who are considering changing to a participating provider with their insurance
Utilizing a card I designed for you to offer a specific courtesy to each patient given one, you choose something which will cost you little, but may offer your patient a benefit that will offset their perceived benefit of going to a participating dentist. The inside section contains an acknowledgement of their situation, as well as clear notice that you value their continued relationship. It also makes clear that you wish to extend a particular courtesy to them, and their family members under the same insurance plan in thanks and appreciation for their choice to remain with your practice. This changes the conversation from “Your fees are higher than someone in my network” to “I might save a few dollars on my checkups but I get something extra at this office too! How much of a difference can it be, anyway?”
- A family? Offer a courtesy fluoride treatment once a year for each child (if the carrier only covers one a year).
- Offer a complimentary tube of whitening gel with each prophy for your adults who whiten.
- A courtesy on your current whitening fee with a tube of gel per year free.
- Courtesy fluoride gel carriers for your high-caries patients.
- That extra cleaning for your perio patients that isn’t covered by their insurance carrier.
- Get creative and allow your Administrative team to let you know what they feel each account might find attractive.
Patients are looking to areas where they can realize savings, but they also will usually prefer staying where they’re happy- if they feel they can afford to. Don’t write off 30% to participate with a carrier or lose a patient to someone who will, if you can provide an alternate benefit which might be equally attractive, and far less costly to your Practice.
For a $40.00 set-up fee, you will receive 3 separate PDF files with your own card template to either print in-house on 4-fold card stock, or to forward to your printer.
What do I need? I need your logo if you have one, your preferred office communication colors, and a link to your website so I can pick up the fonts you prefer to use. I will design 3 alternate color/font/size combinations and you are entitled to use all 3. You will receive your card within 3 business days via email attachment. To order, or ask questions regarding these cards, go to my CONTACT page and I will respond to your request promptly.
For those of you whom are considering either dropping your PPO status with a carrier, or who are currently a Fee for Service practice wishing to maintain a strong relationship with your patients who may be considering changing offices- I encourage you to visit this site for valuable information. Evaluate your options, and what par vs. non-par may actually mean for your practice (either adding or dropping), as well as how to make any changes as productively and seamlessly as possible. www.droptheppo.com. I recommend Sandi’s services without hesitation, and do not accept any fee or incentive for my recommendation. Her philosophy is similar to mine in that she focuses on how to provide a doctor with the most cost-effective way to reach their stated goals clearly and economically. There are certainly places for practice overhauls and many incredibly gifted consultants who offer that service. I will make those recommendations if I see the need, and I’m sure Sandi will as well. I have linked other resources on this site as well.
